Customers, Vendors, Leads and Affiliates

Mike Peters, 06-20-2007
SoftwareProjects maintains four distinct modules to define your users:

Customer Manager: These are all of your customers. People who buy products and services from your business. The customer manager keeps track of customer transactions, orders, call log and shopping preferences.

Vendor Manager: These are your vendors - websites, contractors, partners and service professionals you buy products and services from. The Vendor manager helps keep track of contacts, passwords and bills due to your vendors.

Leads Manager: Leads are prospects who need to be followed-up with by your affiliates or in-house sales team, before they convert to paying 'Customers'. The lead manager allows you to setup autoresponder campaigns delivering series of email messages to your leads to help push them through the sales funnel and convert leads to customers.

Affiliates Manager: Affiliates are in-house sales people, outside sales people and contractors who directly represent your company to the outside world and get paid by your business. The Affiliates manager keeps track of commissions owed to each affiliate, website hits (to affiliate unique URLs) and provides each affiliate with their own dashboard where they can view various information about their performance.

Depending on how your business is setup, the same user may be represented in more than one module at the same time.

For example, once a prospect makes their first payment, they will be represented as both a 'Lead' and a 'Customer'. Their status in the 'Leads Manager' will be listed as 'Paying customer' but their information will remain there to help you keep track of which leads converted.

Another example - in SoftwareProjects, many of our service professionals are 'Customers' as well as 'Affiliates'. They purchase services from SoftwareProjects and they perform various services for the company and get paid as 'Affiliates'.

The system assigns a unique UserID for each user, whether they are a Customer, Lead, Vendor or Affiliate. Once your account is setup properly, you can have the same user represented under two modules as described above.

Here's Christopher Tata, an affiliate of SoftwareProjects who is both an Affiliate and a Customer of the company. Note the internal UserID is the same when viewing Mr. Tata's information under the Customer Manager and Affiliates Manager. This helps maintaining a joint record of transactions and commissions data, while keeping different contact information for Christopher Tata - the customer and Christopher Tata - the affiliate.
