How to: Share access to services with other users

SoftwareProjects allows you to share access to certain services with other users. This is a great way to have one of your employees manage your 'Customer Manager', another person handle 'Help Desk' emails and another person handle the 'Order Manager'.

To setup sharing with a new user, they first need to create a SoftwareProjects account.

Once they each have their own account, here's how to setup sharing -

Step 1: Click on the service you'd like to share. For example, if you're looking to share access to the 'Customer Manager', click on the 'Customer Manager' from your dashboard.

Step 2: Click on the 'Share' link at the top of the page.




Step 3
: Enter the Email Address of the user you would like to share access with (this needs to be the same Email Address they signed up to SoftwareProjects with).

Some services allow you to define what privileges the new user will have access to. Click on the checkboxes to turn on extended privileges for your users. In most cases, you would want to leave all checkboxes not checked, not allowing any extended capabilities to the other users you share access with.

This way, if you're sharing the 'Help Desk' for example, your people will be able to view and reply to all incoming tickets, but they are not going to be able to change the autoreply message or view various reports. These would only be available to you.

Alternatively, if you're sharing access to a service with more than one person, you could designate one person as the administrator - granting them access to more features, with everyone else only having access to the basic featureset (with no checkboxes turned on)

Note one of the privileges is titled 'Invite Others' - this designates whether or not the new user will be capable of sharing the service with new users. By default this is turned off.

You can always view a list of all users you are sharing a service with, remove access or update privileges by clicking the 'Share' link while accessing a service.
